Terms & Conditions
Parties to this Agreement:
This agreement is made between KJ Training Co. LTD, a company registered in England and Wales (Company No. 16342207), whose registered office is at 128 City Road, London, United Kingdom, EC1V 2NX trading as Nexus Physiques (“the Trainer”), and the Client (“the person signing the PT Agreement”).
1. Your Health
-
Before starting, you confirm you are fit and healthy to take part in exercise.

If you have any known injuries, illnesses, or medical conditions, you must provide written clearance from your GP or physiotherapist before your first session.

If you choose to participate without such clearance, you do so entirely at your own risk.

You agree to tell your trainer honestly about anything that could affect your ability to exercise, including:

Pre-existing injuries or medical conditions (whether under treatment, awaiting diagnosis, or ongoing)

Any changes in medication (prescribed or otherwise)
-
Any significant changes in your general health or lifestyle
-

If, at any time, you feel unwell (e.g. dizziness, shortness of breath, chest pain, joint pain, unusual fatigue) before, during or after training, you must tell your trainer and seek medical attention.

Your trainer is not a medical professional and cannot diagnose or treat medical conditions. All exercise advice given is within the scope of qualified fitness instruction only.

Physical contact may be required for correct technique. This will always be professional and with your consent.

If you fail to disclose health information, you accept full responsibility for any resulting injury or worsening of your condition, and agree that the trainer will not be held liable for these consequences.

Your trainer may refuse or stop a session at any time if they believe continuing could be unsafe.
2. Payment & Cancellations

All sessions must be paid for in advance. To keep things fair and ensure your session slot is reserved just for you, sessions will only be confirmed once payment has been received in full.

Payments are made via Direct Debit or Bank Transfer. Monthly payments are collected between the 24th and 1st of each month unless another date is agreed in writing. Pay-as-you-go clients must keep at least one session “in credit” at all times.

Cooling-off period: If you purchase online or away from the trainer’s premises, you have 14 days to change your mind (Consumer Contracts Regulations 2013). If you start training within this time, you agree to waive your right to a full refund for services already delivered.

Missed or late payments may result in:

Suspension of app access

Loss of your regular training slot until payment is made

Notice periods:
-
Monthly packages: 30 days’ written notice to cancel or change your current package

Pay-as-you-go: Two sessions’ notice to cancel

Any remaining sessions after termination must be used within 30 days, unless otherwise agreed.

All payments are non-refundable except where required by law or if the trainer cancels permanently and cannot fulfill the remaining service.
3. PT Packages & Bookings
-
Sessions must be booked in advance and paid for before the session takes place.
-
If the trainer cancels with less than 24 hours’ notice, the session will be rescheduled or credited.
-
If you are late:
-
Over 15 mins late for a 30-min session, 25 mins for a 45-min session, or 30 mins for a 60-min session = session forfeited.

Session expiry:
-
Monthly packages: sessions expire at the end of the following month.
-
Blocks: sessions expire 1 week after the block ends unless an extension is agreed in writing.

If you fail to attend without at least 24 hours’ notice, the session will be lost with no refund.

If the trainer is unable to deliver sessions in person for a period of time (illness/injury), online sessions will be offered or sessions will be rearranged. If neither option is possible long-term, firstly credits and/ or eventually a refund will be given for unused sessions.
4. My PT Hub / Nexus App Usage

App access is included for active paying clients only.
-
Access ends when your package ends or payments stop.
-
All programme content remains the intellectual property of Nexus Physiques. You may not share, sell, or reproduce it for others.
5. Holidays & Sickness
-
Your trainer takes up to four weeks’ holiday per year, and this is factored into pricing. Dates will be given in advance.
-
Up to 4 sessions per year may be forfeited during trainer holidays. During these periods you will follow your provided personalised programme independently.
-
Short trainer absences (e.g. 1–2 days) will be rescheduled.
-
If you miss sessions due to your own illness or holidays, please notify your trainer as soon as possible. Missed sessions can be rescheduled or made up, subject to availability and within 30 days of the missed session.
6. Purchased Solo Programmes
-
Tailored to your goal but without one-to-one coaching unless purchased separately.
-
You are responsible for tracking your own progress.
-
Any errors or omissions will be corrected free of charge.
7. PT Offers
-
Must be started within one month unless otherwise agreed.
-
All sessions must be completed within the offer period or they will expire.
8. Policy
-
We are not liable for injuries or conditions caused by failure to follow professional advice or by using our materials outside the intended purpose.
-
All content we provide is for your use only and must not be shared.
-
We reserve the right to terminate services if terms are not followed.
9. Data Protection (GDPR 2018)
-
We store your personal information securely and will never sell or share it without your consent (except where legally required or for referral to another professional with your permission).

You have the right to request a copy of your data, request corrections, and request deletion (“the right to be forgotten”).
-
Data is retained for up to 6 years for legal and tax purposes, then securely deleted.
10. Online & Nutrition Coaching
-
Online & Nutrition coaching programmes include tailored workout plans, access to the Nexus Physiques app, and ongoing support via the app messaging system.
-
Nutrition coaching includes personalised nutrition guidance, meal plans tailored to your goals and preferences but does not replace medical or dietetic advice.
-
All online and nutrition coaching services require upfront payment before any work is started and access is granted.
-
Clients are responsible for regularly logging workouts, nutrition adherence, and progress in the app to maximise results.
-
The trainer will provide support and guidance within their scope of practice. The trainer is not a registered dietitian or medical professional; any medical or clinical nutritional concerns should be referred to an appropriate specialist.
-
Sessions, plans, and coaching advice are for the client’s use only and must not be shared or distributed.
-
If the client does not follow the agreed programme or fails to engage, the trainer may pause or terminate online services with no refund for unused sessions.
-
Cancellation or pause policies for online and nutrition coaching follow those outlined in Section 2(Payment & Cancellations).
11. General Legal
-
This agreement is governed by the laws of England and Wales.
-
If any clause is found unlawful or unenforceable, the rest of the agreement will remain valid.
-
This agreement is the entire understanding between you and KJ Training Co. LTD trading as Nexus Physiques and replaces any previous discussions.
